Form 8809: Asking for More Time to File Information Returns

Published November 7, 2026

Form 8809 is the request a payer or filer sends to the IRS to get more time to file certain information returns. The form covers Forms W-2, W-2G, 1042-S, 1094-C, 1095, 1097, 1098, 1099, 3921, 3922, 5498, and 8027. It applies only to the current tax year.

This post is general information from the form (Rev. December 2025). It does not tell you what to do in your case, and it does not cover statements you must give to recipients.

What the form does not cover

The form says not to use it to ask for more time to file Form 1040 or Form 1040-SR. Use Form 4868 for those. It also says not to use it for Form 1042, which uses Form 7004. It does not extend the date for giving statements to recipients.

Automatic and nonautomatic requests

The form says that, except for Forms W-2 and 1099-NEC, all initial extensions are automatic. An automatic request does not need a reason. For Forms W-2 and 1099-NEC, the request is nonautomatic and needs a justification on line 7. Those requests must be submitted on paper.

The form also covers additional 30-day extensions. Line 5 is checked only if you already received the automatic extension and now need another for the same year. Additional requests must be submitted on paper, and line 7 must be completed.

The reasons on line 7

Line 7 lists the reasons the IRS accepts for a request that needs justification. The list includes:

  • A catastrophic event in a federally declared disaster area that made records unavailable or operations impossible to resume.
  • Death, serious illness, or unavoidable absence of the person responsible for filing.
  • A fire, casualty, or natural disaster that affected the filer's operations.
  • The first year the filer was in business.
  • Not receiving data in time, such as a Schedule K-1, a Form 1042-S, or a statement of sick pay.

How to file

The form lists three ways to file. You can e-file through the Information Return Intake System, called IRIS. You can complete a fill-in Form 8809 through the FIRE System at fire.irs.gov. Or you can mail a paper form to the address in the Where to File section. The form says the FIRE option is not available for Forms W-2, 1099-NEC, or additional 30-day requests.

When to file and the due dates

The form says to file as soon as you know you need an extension. You cannot file before January 1 of the year the return is due. The request must be filed by the due date of the returns. The form says an extension cannot be granted if the request is filed after the filing due date.

The due dates depend on the form. Form 1099-NEC is due January 31 on paper and on e-file. Forms 1098 and 1099 are due February 28 on paper and March 31 on e-file. Form 5498 is due May 31. Form 1042-S is due March 15 both ways.

If a due date falls on a weekend or legal holiday, file by the next business day. If you request an extension for several types of forms, one Form 8809 can cover them, but you must file it by the earliest due date. The form's example: Forms 1098 and 5498 require filing by February 28, or March 31 if you e-file.

The name and the TIN must match

The form has a caution that the legal name and TIN on the extension request must be exactly the same as the name you gave when you applied for your EIN on Form SS-4. Do not use abbreviations. If a name change was reported to the IRS, use the current legal name.

Line 2 asks for the nine-digit EIN, without hyphens. If you are not required to have an EIN, the form says to enter your social security number.

Signatures

The form says no signature is required for the automatic 30-day extension, except that it is not available for Forms W-2 or 1099-NEC. An additional extension, or a nonautomatic request for Form W-2 or 1099-NEC, must be signed by the filer, the transmitter, or a person authorized to sign a return. The declaration says the information is made under penalties of perjury.

Limits on Forms W-2 and 1099-NEC

The form says no additional 30-day extensions are allowed for Form W-2 or Form 1099-NEC. Plan the filing for those forms early.

For the employer identification number that must match the name on your request, read Form SS-4: How to Apply for an Employer Identification Number. For the transmittal form used with paper returns, read Form 1096: The Cover Form for Paper Information Returns.
